Our client is a growing medical communications company located in in New York City. They are currently looking to hire a Program Coordinator. The Program Coordinator position is a temporary-to-hire opportunity but could be a direct hire position for the right candidate.
Responsibilities: Â
- Candidate will manage all aspects of speaking events designed for health care professionals
- Execute logistics for programs to ensure commitments are met on schedule.
- Adheres to client compliance guidelines
- Understands SOPs and Business Rules for assigned clients
- Ensures budgets are accurate and compliant for each program ensuring to update projected expenses to actual expenses
- File program folders once program details have been confirmed and program has been closed out
- Handle incoming calls from clients, vendors, and speakers and assist with all requests
- Manage restaurant vendors and travel arrangements
Qualifications:
- Position requires ability to solve problems with some degree of independence
- Individual must be self-motivated, resourceful, organized and flexible, able to work in a fast-paced environment and to multi-task and prioritize
- Candidate should have excellent communication skills, ability to work with a variety of people (physician and client contacts), and willingness to work extended hours to meet client needs
- Proficiency in MS Outlook, Word, Excel and use of the Internet are required
- Previous customer service or meeting planning work experiences a plus
- Proper use and understanding of company databases in order to enter information accurately for the following categories:
- Venue
- Audiovisual
- Air/Ground Transportation & Hotel Arrangements
- Budget Management
- Coordinate payment with venues—uploading receipts to program in a timely manner and reconciling with accounting
- 1-3 years of experience in event planning required
