Our client is a research-based pharmaceuticals firm. They market their pharmaceuticals directly to health care providers and patients. They are currently seeking Project Assistants, preferably recent grads, for 1-year contract assignments.
Responsibilities:
- Provide administrative and project support
- Provide oversight / coordination with other administrative staff
- Provide project support
- Assist in presentation design and report generation as needed
- Compose, edit and maintain documents including written and electronic communications, meeting minutes, reports, letters, forms, training materials, and procedures including serving as SharePoint administrator for Leadership Team.
- Establishes collaborative relationships required to expedite work
- Coordinate various programs as directed such as by scheduling, booking conference rooms and food service.
- Gathers information for meetings and distributes to all individuals attending
- Maintain bills/standing orders that support the budget processes
- Order supplies and other items for department
- Complete expense reports, work orders/maintenance requests, and electronic requisitioning/Ariba
- Coordinates special activities/events
- Coordinates offsite meetings that require execution of multiple tasks
- Oversee invitations, travel coordination, location arrangement, menu selection, etc.
- Maintains confidentiality of all employee information.
- Distribute various documents to appropriate locations and people.
- Revises formats of templates and documents
- Proactively updates information
Qualifications:
- Recent college grad preferred
- Previous Intern experience at a Pharmaceutical company desired
- General knowledge of scientific language
- Technical background; good with PowerPoint, Excel, Word.
- Ability to work well under pressure
- Demonstrated project management skills strongly preferred
- Excellent communication and interpersonal skills are required
- Demonstrated resourcefulness, with ability to anticipate needs, prioritize responsibilities and take initiative
- Strong organizational skills with a proven ability to prioritize and work independently
- Ability to be flexible and adaptable to provide support to additional team members when needed
