Our client is a tenant-focused private real estate investment firm with a 75-year legacy of successful real estate development, ownership, and management. They are currently seeking an Accounts Payable Administrator to join their team.

Salary/Hourly Rate:

$30/hr

Position Overview:

The Accounts Payable Administrator will be accountable for all processes and workflow that lead to the timely payments to AP vendors. Workflow includes accurate and timely processing, documentation, vendor communication and payment management of all vendor accounts through AvidXchange. The Accounts Payable Administrator will manage the BCP AvidXchange Portal by working with the Property teams as needed, researching and processing invoices moved to research queues for further processing, maintaining, and updating user information and updating accounting system information such as job codes. The ideal candidate will provide administrative support for the team by answering phones, book binding projects, and scans/copies of materials as needed.

Responsibilities of the Accounts Payable Administrator:

  • Answer vendor inquiries
  • Reconcile vendor statements and research discrepancies
  • Keep vendor records up-to-date by obtaining W9s as needed
  • Onboard new corporate users
  • Review and code all invoices paid at corporate
  • Perform portal admin for the BCP AvidXchange Portal including maintaining and updating user information, property addresses, job codes, etc.
  • Answer and assist with questions and issues that arise within corporate as well as to the external property teams
  • Research and process all invoices moved to research queues in the Avid Inbox by the Indexing team
  • Communicate with the Property teams for corrections and resubmissions
  • Assign invoices to workflows in Avid as the corporate gatekeeper
  • Ensure workflows are correct and approvals received prior to payment
  • Monitor Sysaid for new & termed users, adding permissions, entity access for Avid
  • Maintain job codes

Qualifications of the Accounts Payable Administrator:

  • Ability to work with a wide range of people

  • Ability to work independently and effectively in a changing, fast-paced environment
  • Computer literate with the ability to quickly learn new software programs
  • Excellent computer skills including Microsoft Office Suite
  • Ability to prioritize projects, assimilate information with accuracy and consistent attention to detail, and meet schedules and deadlines
  • Effective written and oral communication skill and organizational and interpersonal skills working within a team environment
  • Experience with accounting software is a plus
  • Experience in a corporate office is preferred

Education Requirements:

  • Bachelor’s degree in Accounting is preferred
