We are seeking a highly organized and detail-oriented Full-Time Accounts Payable Clerk to support our Pittsburgh office. This position requires candidates with strong legal firm experience to assist with processing invoices, managing payments, and maintaining financial records within a professional law firm environment.

Position Overview:
The Full-Time Accounts Payable Clerk will be responsible for managing the firm’s accounts payable process, including reviewing and processing invoices, preparing payment runs, and maintaining accurate financial records. This role requires someone who is detail-oriented, able to work independently, and has prior experience working in a legal or professional services environment. This is a full-time position with an expected schedule of 40 hours per week.
Responsibilities of the Accounts Payable Specialist:
- Invoice Management: Review, process, and record invoices from vendors, ensuring accuracy and compliance with firm policies.
- Payment Processing: Prepare payment runs, process checks, wire transfers, ACH payments, and ensure timely vendor payments.
- Vendor Relations: Communicate with vendors to resolve discrepancies, answer inquiries, and maintain positive relationships.
- Financial Record Keeping: Maintain accurate accounts payable records, including filing invoices and payment documentation.
- Reconciliation: Perform monthly reconciliation of accounts payable accounts and assist with month-end closing activities.
- Reporting: Provide reports on outstanding invoices, payments made, and vendor aging as needed by senior management.
- Compliance: Ensure adherence to firm policies and relevant legal requirements regarding payments and accounting practices.
- Administrative Support: Assist with additional administrative duties related to finance and accounting, including data entry and financial reporting.
- This role requires a strong sense of initiative and the ability to handle responsibilities with discretion and professionalism in a fast-paced legal environment.
Qualifications of the Accounts Payable Specialist:
- Legal Firm Experience: A minimum of 3 years of experience in a professional services or legal firm environment, with a focus on accounts payable and financial record-keeping.
- Organizational & Communication Skills: Strong organizational skills and attention to detail are essential. Ability to manage multiple tasks while maintaining accuracy is critical.
- Independent Worker: Ability to work independently, prioritize tasks, and make judgment calls as needed.
- Technical Skills: Proficiency with accounting software, Microsoft Excel, and other office tools. Experience with legal accounting software is a plus.
- Professional Interaction: Ability to represent the firm positively when interacting with clients, vendors, and all levels of personnel.
- Flexibility: Willingness to work beyond standard office hours as required.
Education Requirements:
- High school diploma or equivalent required. College, business school, or relevant continuing education preferred.
