Our client is looking for an Administrative and Fundraising Assistant to join their team! The Administrative and Fundraising Assistant will be responsible for supporting, coordinating, and executing a full range of administrative responsibilities and tasks, working with the staff in all offices.

Salary/Hourly Rate:

$25/hr | $65,000

Position Overview:

The Administrative and Fundraising Assistant provides overall support to the New York office, including office management, vendor coordination, fundraising,  event and meeting support, and other programs.

Responsibilities of the Administrative and Fundraising Assistant:

  • Manage New York office needs, including coordinating stationery, office, and kitchen supplies; coordinating with IT and equipment vendors; and liaising with the Academy’s landlord on building issues, including temperature, maintenance, repairs, building access, and security
  • Manage reception desk and area, including handling phone and front door calls; receiving and assisting visitors; directing deliveries and vendors; handling postage meter and incoming/outgoing mail and packages; and office mailboxes; generally maintaining organization and printed materials in area
  • Assist with the onboarding/offboarding of employees
  • Assist with events as needed, including galas and other donor events
  • Assist with management of email account, including screening emails, fielding questions, and forwarding to appropriate staff in all offices
  • In coordination with Development Coordinator and Executive Assistant to the President, provide coverage to President’s Office and for meeting logistics as needed
  • Assist with maintenance of general office information and files
  • Perform other office management duties as needed and assigned
  • Assist with gift processing, including handling cash, check, credit card, and online gifts, payments, and pledges, and entering pledges, gifts, and payments into Raiser’s Edge accurately and in a timely manner
  • Assist with gift acknowledgments, including writing, generating, and proofing letters and tax receipts
  • With the development coordinator, maintain donor files both in the office and digitally
  • Perform other gift processing duties as needed and assigned

Qualifications for the Administrative and Fundraising Assistant:

  • Two years of work experience providing administrative support in a cultural, academic, or other non-profit institution, preferably in the arts or humanities, or equivalent experience
  • Demonstrated skill in effectively juggling multiple tasks, managing time, and taking initiative, with strong ability to work collaboratively on a small team with concurrent projects and deadlines
  • Excellent organizational ability, problem-solving skills, accuracy, and attention to detail, along with demonstrated interest in learning and improving skills
  • Strong verbal and written communication skills, combined with demonstrated interpersonal skills and professional demeanor
  • Ability to interact professionally and work productively with a wide range of constituents including management and support staff, board members, donors, funders, consultants, and vendors
  • High level of proficiency in Microsoft Office applications, including Word, Excel, Powerpoint, and Access, as well as Google applications, including Gmail, Google Calendar, and Google Drive
  • High aptitude for database applications/software, especially Raisers Edge and Adobe Creative Suite (Acrobat, Illustrator, InDesign and Photoshop); ability to learn and develop proficiency in new applications quickly
  • Excellent judgment and discretion in handling confidential and sensitive information
  • Ability to work occasional evenings and weekends for events and programs

Education Requirements:

  • Bachelor’s degree, with study or interest in the arts and/or humanities
