Our client is a leading asset manager serving clients worldwide. They are seeking to add a highly motivated Administrative Assistant to deliver best-in-class administrative support to the Human Capital Management (HCM) area.

Salary/Hourly Rate:

$55k – $70k

Position Overview:

The Administrative Assistant will be expected to ensure that every guest feels welcome upon entering our global headquarters. Every single day will be different, so it’s important you’re attentive and come in with an open mind set, ready to tackle any challenge thrown your way. This role will also provide daily coverage to the reception desk. The role is from Monday – Friday from 7 am – 4 pm or 8:30 am – 5:30 pm.

Responsibilities of the Administrative Assistant:

  • Provide administrative and reception support in a complex team environment
  • Welcome and announce clients, candidates, and visitors
  • Operate call directory equipment to transfer incoming calls to correct person
  • Coordinate complex, internal/external meetings, and conference calls
  • Assist with scheduling and prepare meeting and conference rooms
  • Monitor the comings and goings of vendors, contractors, and logistical personnel
  • Understand security procedures and ensure compliance by guests and employees
  • Handle a high volume of calls and interact with high-level business leaders in a professional and effective manner
  • Maintain complex and extremely detailed calendars and prioritize meeting requests and related logistics
  • Participate in general administrative duties, ad-hoc projects, committees, and or group events

Qualifications of the Administrative Assistant:

  • 2+ years of experience
  • Strong presence, confidence, poise, and patience
  • Team player with a positive attitude▪ High attention to detail
  • Strong Microsoft Office skills, specifically in Excel and PowerPoint
  • Demonstrate a high degree of integrity and confidentiality
  • Ability to work well under pressure and adapt to a dynamic environment
  • Proven ability to organize, manage, and plan several concurrent initiatives with varying priorities

Education Requirements:

  • Bachelor’s degree is preferred
