Client Overview:

Our client is a well-known real estate developer looking to bring on an Administrative Assistant to support the Property Manager.

Salary/Hourly Rate:

$55,000 – $60,000

Position Overview:

The Administrative Assistant should have experience in the real estate industry and has worked on keeping track of projects. The ideal Administrative Assistant candidate will have strong follow-up skills and a high attention to detail.

Responsibilities of the Administrative Assistant:

  • Provide administrative support to the Property Manager such as answering phone calls, emails, scheduling meetings, and maintaining calendars
  • Assist in the preparation and distribution of paperwork related to properties such as leases, contracts, and invoices
  • Monitor and respond to tenant requests and complaints in a timely and professional manner
  • Assist in managing property maintenance and repair requests, coordinating with vendors and maintenance staff as needed
  • Maintain an updated record of property listings, lease agreements, payments, and tenant information
  • Oversee property inspections and assist in managing property move-ins, move-outs, and lease renewals
  • Assist Property Manager in monitoring property-related budgets and expenses
  • Facilitate communication between the Property Manager, tenants, contractors, and local authorities
  • Support in preparing and presenting property performance reports
  • Keep updated with property market trends and provide relevant information to the Property Manager

Qualifications for the Administrative Assistant:

  • Real Estate or Property Management industry knowledge
  • Proficient in Microsoft Office Suite, including PowerPoint and Excel
  • Excellent communication skills, both oral and written
  • Strong organizational and planning skills
  • Ability to handle confidential information with discretion and professionalism
  • Experience in project management, coordinating meetings, and connecting with contractors
  • Strong decision-making ability and attention to detail
  • Excellent time management skills and ability to multitask and prioritize work
  • Experience with budget management and basic financial reporting is a plus
  • Professional and pro-positive attitude, able to effectively represent the VP in a positive and professional manner
  • Strong interpersonal skills, with the ability to interact well and build relationships with stakeholders at all levels

Education Requirements:

  • Associates or Bachelor’s degree in Business Administration, Real Estate, or related field is preferred
