Our client is a well-known advertising agency that is looking for a high-level Administrative Assistant to support a C-level Executive on their team. They value drive, thoughtfulness and a sense of urgency in a candidate.

Salary/Hourly Rate:  $40-65k  |  $20-30/hr

Position Overview:  The Administrative Assistant is responsible for providing administrative support to ensure efficient operation of the office. This person will support managers and employees through a variety of tasks related to organization and communication including calendar management. They should have the ability to effectively communicate via phone and e-mail ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner. The ability to rely on experience and judgment to plan and accomplish goals with a wide degree of creativity and latitude is expected.

Responsibilities of the Administrative Assistant:

  • Answer and direct phone calls
  • Calendar Management – Organize and schedule meetings and appointments
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Occasionally assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system; Prepare and monitor invoices
  • Order office supplies
  • Book/organize travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Provide information by answering questions and requests
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Contribute to team effort by accomplishing related results as needed
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Book conference calls, rooms, taxis, couriers, hotels etc. 
  • Cover the reception desk when required
  • Reply to e-mail, telephone or face to face inquiries; Receive, sort and distribute the mail
  • Develop and update administrative systems to make them more efficient and resolve administrative problems
  • Manage staff appointments
  • Oversee and supervise the work of junior staff
  • Maintain up-to-date employee holiday records
  • Photocopy and print out documents on behalf of other colleagues

Qualifications for the Administrative Assistant:

  • Ability to handle multiple projects
  • Proven admin or assistant experience
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office

Education Requirements:

  • Bachelor’s Degree
