Our client is a privately-owned and rapidly growing healthcare company in Northern New Jersey (Bergen County) seeking an Executive Assistant to support the CEO. Candidates out of wealth management, legal, or the financial industry are a plus.

Salary/Hourly Rate:

$80k – $85k

Position Overview:

The Executive Assistant will perform duties that assist the CEO with daily tasks and business-related needs. The Executive Assistant should maintain focus, work well under pressure, and have interpersonal skills. The Executive assistant must be organized and able to schedule in-office tasks, travel arrangements, as well as schedule meetings and maintain quick email correspondence.

Responsibilities of the Executive Assistant:

  • Manage complex calendars.
  • Take calls and respond to e-mails, maintaining complete confidentiality.
  • Greet visitors upon arrival to the office in a professional manner.
  • Arrange pre and post-travel arrangements including booking flights, hotel reservations, travel itineraries and expense reports upon travel completion.
  • Enter data in the company system, and generate documents, files, and presentations.
  • Fax, scan, copy, and file both internal and external documents.
  • Dispense mail and regulate office equipment and supplies.
  • Help with various tasks that may arise within the office.

Qualifications of the Executive Assistant:

  • 3 or more years of administrative support experience.
  • Personable, polished, professional, ability to maintain composure, and stay organized.
  • Ability to create and maintain relationships with colleagues, management, and shareholders.
  • Prioritize workloads, multitask assignments, meet ridged time constraints.
  • Competent in Microsoft Office Suite (Word, Excel, Power Point, Teams, and Outlook), and Adobe Acrobat.
  • Ability to navigate through social media databases.

Education Requirements:

  • Bachelor’s degree is strongly preferred.
