Our client aims to disrupt molecular diagnostics with better, faster, and affordable tests. They are on the cusp of solving challenges ranging from faster pathogen detection and simpler testing for cancer to improved food safety. They are looking to add an Executive Assistant to their team.

Position Overview:

The Executive Assistant is responsible for managing the schedules and communications of the executive team VP level and above. The role is responsible for managing calendars, making travel arrangements, scheduling interviews, and preparing expense reports.

Responsibilities of the Executive Assistant:

  • Act as the point of contact for the executive team (VP and above)
  • Proactively manage calendars and schedule meetings for the executive team
  • Make travel and accommodation arrangements
  • Schedule interviews
  • Gather and submit expenses and reports in a timely manner
  • Format presentations for the senior team for internal and external use
  • Take meeting minutes during senior team meetings and distribute them to the members complete with action items
  • Screen and direct phone calls, emails, and mail to the senior team
  • Organize logistical aspects of meetings including securing meeting space, partnering with IT to ensure technology is working, ensuring the appropriate participants are notified, and organizing catering Secure office space for senior leadership team members as needed
  • Manage the visitor process, including greeting and ensuring they receive and return lanyards
  • Order office supplies and maintains inventory

Qualifications of the Executive Assistant:

  • A minimum of 5 – 7 years of experience supporting a senior/executive team or individual
  • Must be well organized and have exceptional attention to detail
  • Exemplary time-management skills and ability to prioritize
  • Proactive and strong problem-solving skills
  • Must have advanced & expert proficiency in Microsoft Office
  • Excellent verbal and written communication skills
  • Demonstrated discretionary and high-level of confidentiality skills

Education Requirements:

  • Bachelor’s degree is preferred
