Position Overview:

The Home developer is seeking an experienced HOA Portfolio Manager to join the team. The ideal candidate will be responsible for managing a portfolio of properties and must have prior experience in collaborating with Developer/Declarant communities. The HOA Portfolio Manager role demands a deep understanding of the unique challenges and requirements associated with such environments and a commitment to delivering top-tier property management services.

Responsibilities of the HOA Portfolio Manager:

  • Developer/Declarant Community Management:
    • Make use of prior experience leading Developer/Declarant groups to handle certain obstacles and specifications.
    • Develop a good rapport with declarants, developers, and other pertinent stakeholders to guarantee seamless cooperation and adherence to community standards.
  • Property Operations Management:
    • Watch over the upkeep of HOA communities, including the common areas, facilities, amenities, and residential units.
    • Make sure the property is kept up to date by coordinating maintenance, repairs, and enhancements with suppliers and contractors.
    • Address requests for maintenance as soon as possible and provide effective solutions to problems.
  • Monthly Property Inspections:
    • Examine allocated properties in-depth to make sure standards are being followed.
    • Find and fix any maintenance or compliance problems, record your findings, and organize the necessary remedial measures.
  • Financial Management:
    • Work with the HOA board to create and oversee the budget.
    • Assure prompt payments and correct financial records by collecting and processing HOA dues and fees.
    • Report financial information regularly to stakeholders and the HOA board.
    • Obtain community loans and create tax returns tailored to the community.
  • Resident Relations:
    • Act as the main liaison for residents’ questions, grievances, and comments.
    • Develop a good rapport with the locals while professionally handling disagreements.
    • Inform locals of news, happenings, and updates in the area.
  • Rules and Compliance:
    • To keep the neighborhood peaceful, enforce the bylaws, covenants, and community norms.
    • Collaborate with the HOA board to create and revise community rules.
    • To guarantee compliance, address infractions, and take the necessary steps.
  • Meeting and Communication:
    • Plan and participate in frequent HOA board meetings, taking minutes and creating agendas.
    • Effectively communicate property-related issues and updates to the HOA board, homeowners, and vendors.
    • Vendor and Contractor Management:
    • To get high-quality services, build and preserve relationships with contractors and providers.
    • Examine and accept service agreements and vendor contracts.
  • Records and Documentation:
    • Keep thorough records of all correspondence with residents, financial records, and information pertaining to the property.
    • Make certain that all contracts, papers, and records are arranged correctly and are readily available.

Required Experience/Skills for the HOA Portfolio Manager:

  • Proven experience in HOA property management, especially with Developer/Declarant communities.
  • Strong knowledge of property operations, maintenance, and vendor coordination.
  • Excellent communication skills with the ability to resolve conflicts and manage relationships with residents, contractors, and board members.
  • Strong financial management skills, including budgeting, dues collection, and reporting.
  • Ability to handle compliance and enforce community rules and bylaws.
  • Previous experience working with HOA boards and preparing tax returns for community properties.
  • Experience with community loan procurement and financial forecasting.
  • Knowledge of the latest property management software and systems.

Education Requirements:

  • Bachelor’s degree in Business, Property Management, Real Estate, or a related field is preferred.
  • Relevant certifications in property management (e.g., CAM, CMCA) are a plus.
