Our client is seeking an Office Assistant to support the daily operations of a fast-paced finance firm in Manhattan. The Office Assistant will report directly to senior team members and will be an essential part of keeping the office running smoothly and efficiently. Position Overview:

The Office Assistant will be responsible for a range of administrative and operational tasks to support both staff and leadership. The Office Assistant should be organized, proactive, and capable of managing multiple priorities in a professional office environment. This role is ideal for someone with a team mindset who is ready to be a key contributor from day one.

Responsibilities of the Office Assistant:

  • General administrative duties, including supporting senior management as needed.
  • Greeting office guests and answering phones, taking accurate messages, or transferring calls.
  • Assisting staff with administrative needs such as copying, scanning, and preparing mail.
  • Creating and maintaining organized filing systems (digital and paper).
  • Updating and managing office contact lists and directories.
  • Monitoring office supply levels and placing orders when needed.
  • Coordinating with external IT support for basic tech issues and scheduling service as needed.
  • Assisting with HR-related tasks like tracking PTO and attendance.
  • Handling incoming and outgoing mail and package deliveries.
  • Supporting scheduling and access coordination for internal meetings or external visitors.
  • Assisting with marketing coordination tasks such as updating listings or preparing materials.
  • Taking on special projects and responsibilities as assigned by management.

Required Experience/Skills for the Office Assistant:

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills and attention to detail.
  • Excellent communication skills – written and verbal.
  • Ability to work collaboratively and independently in a fast-paced environment.

Preferred Experience/Skills for the Office Assistant:

  • 2+ years of experience in a professional office setting, with prior Office Assistant or Administrative Assistant experience, is preferred.

Education Requirements:

  • Bachelor’s degree is required.
