Our client, a local marketing firm, is looking to add an Office Manager to their growing team. The chosen candidate will work onsite 5 days a week in the Tampa location.

Position Overview:

The Office Manager will be responsible for handling the day to day operations of the office, including ordering supplies, answering phones, greeting guests, setting up meeting rooms, etc. The ideal Office Manager has prior experience in a reception, administrative, or similar position.

Responsibilities of the Office Manager:

  • Greet clients/guests as they arrive at the office, escort them into the boardroom and advise office member of their arrival, bring them drinks (coffee/tea/water)
  • Answer main phone line, along with any missed calls; send email with call details respectively
  • Manage boardroom(s) availability
  • Handle all incoming and outgoing mail/couriers
  • Printing and binding presentation materials
  • Order lunch for the office daily, supplies and groceries weekly or as needed
  • Keep all spaces in the office (i.e. kitchen, boardrooms, copy room, etc.) stocked, tidy and organized
  • Assist with coordinating meetings and calendar management
  • Arrange flights, hotel, car service, etc. and enter travel data into calendar; make adjustments accordingly
  • Review office invoices and expense report data, correlate expenses with receipts, allocate costs to various projects, portfolio companies, etc., review with each individual and make corrections as needed prior to submitting
  • Address day-to-day office maintenance issues (e.g. cleaning, shredding, garbage, HVAC, etc.)
  • General clerical duties including photocopying, scanning, filing and binding

Qualifications for the Office Manager:

  • 2+ years of experience
  • Excellent written and spoken communication skills
  • Organized and detail oriented

Education Requirements:

  • Bachelor’s degree is preferred but is not required
