Salary/Hourly Rate:
$40k – $45k
Position Overview:
This Receptionist/Administrative Assistant role is essential in providing front-line support to clients and staff, ensuring the smooth operation of daily office activities. The ideal candidate for the Receptionist/Administrative Assistant role will possess excellent communication skills, attention to detail, and a professional demeanor.
Responsibilities of the Receptionist/Administrative Assistant:
- Greet clients and visitors warmly, providing a positive first impression of the firm.
- Answer and direct phone calls, taking messages as necessary and ensuring timely follow-up.
- Schedule appointments, manage calendars, and coordinate meeting logistics for attorneys and staff.
- The Receptionist/Administrative Assistant will maintain and organize client files, documents, and records in compliance with confidentiality standards.
- Prepare and process correspondence, legal documents, and other paperwork as needed.
- Assist with billing and invoicing processes, including data entry and filing.
- Manage office supplies and inventory, placing orders as necessary to ensure efficient operations.
- Perform general administrative tasks, including filing, scanning, and photocopying documents.
- Support Legal staff with research and administrative tasks as needed.
- Uphold a professional office environment and adhere to firm policies and procedures.
Qualifications for the Receptionist/Administrative Assistant:
- Previous experience in a Receptionist or Administrative role, preferably in a legal or professional services environment.
- Proficient in Microsoft Office Suite (Word, Excel, and Outlook) and comfortable with office technology.
- Strong verbal and written communication skills, with the ability to interact effectively with clients and colleagues.
- Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and prioritize effectively.
- The Receptionist/Administrative Assistant will have the ability to maintain confidentiality and handle sensitive information with discretion.
- A positive attitude and a strong commitment to providing exceptional customer service.
Education Requirements:
- High school diploma or equivalent is required.
- Additional education or certification in office administration is preferred.
