Our client is a teaching healthcare provider located in Boston, MA. They conduct large research programs to accelerate discoveries to improve human health. They are looking to add a Senior Administrative Assistant to their team.
Salary/Hourly Rate:
$60k
Position Overview:
The Senior Administrative Assistant will provide all required support to the faculty that backs a broad range of clinical, operational, and network development for the program.
Responsibilities of the Senior Administrative Assistant:
- Provide administrative support to the four faculty members with telephone triage, calendar management, and special projects.
- Exercise of careful judgment in arranging priorities based on a close association with and keen awareness of the program’s major concerns.
- Schedule all conferences, meetings and appointments, and arrange complex national and international travel.
- Manage coordinating dates, set appointments, and general calendar management for the faculty.
- Maintain an up-to-date yearly schedule of commitments made. Brief faculty members on appointment schedules, nature of appointments, and provide backup material relating to the nature of appointments.
- Review all incoming and outgoing mail/fax for the program, assemble pertinent information and data prior to submission, and answer the remainder on your own initiative.
- Prepare, collect, and maintain information for the preparation of confidential reports, proposals, and other materials.
- Assist in developing and maintaining yearly and monthly schedules of clinical activities for the program, bringing conflicts and changes to faculty members attention.
- Type all correspondence (including patient related letters and notes), schedules, manuscripts, reviews, slides, tables, and statistical tables. Maintain administrative files and correspondence. Compose letters and memoranda for faculty signature.
Qualifications for the Senior Administrative Assistant:
- 3+ years in administrative support, preferably in a healthcare setting.
- Outstanding computer and technical skills.
- Excellent organizational and project-management skills.
- Ability to work independently and be resourceful, with careful attention to detail.
- Great interpersonal and communication skills.
- Excellent time management skills.
Education Requirements:
- Bachelor’s degree is preferred.
