Our client is a renowned science and research institute in the Greater Boston Area. They are currently looking to add a Senior Administrative Assistant to join their team.
Salary/Hourly Rate:
$32/hr – $37/hr
Position Overview:
The Senior Administrative Assistant has an essential role in providing specialized direct administrative support for a Site Director and Professor in a fast-paced environment. The Senior Administrative Assistant will create operational solutions, and address administrative issues to help this key leader maximize their impact. The Senior Administrative Assistant will be responsible for maintaining complex calendar management, answering and responding to phone calls and emails, coordinating travel arrangements, reconciling and approving expense reports and ledgers, attending meetings, and coordinating events. Senior Administrative Assistants require a can-do attitude, a good sense of humor, and a willingness to complete any job regardless of how big or how small. The Senior Administrative Assistant position would be a temp-to-perm opportunity.
Responsibilities of the Senior Administrative Assistant:
- Strategically and effectively manage hectic and complex calendar schedules and appointments
- Coordinating logistics for presentations, meetings, and events
- Facilitating executive-level communication including phone, email, and written correspondence
- Act as a liaison between senior management and clients
- Plan and coordinate extensive world-wide travel arrangements
- Reconcile and process expense reports Data Entry
- Show discretion and confidentiality in dealing with sensitive information
- Other tasks as needed
Qualifications for the Senior Administrative Assistant:
- 5+ years of professional experience, including
- 3+ year in an administrative support role
- Extensive complex calendar management and travel arrangement experience
- Must be a self-starter and have a go-getter personality
- Willingness to learn, grow, and receive feedback
- Positive team player, with the ability to thrive in a fast-paced environment
- Typing, data entry, and Microsoft Office and Google Suite proficiency
- Professional approach with strong written and verbal communication skills
- Experience in higher education or non-profits is preferred.
Education Requirements:
- Bachelor’s degree us required
