Our client, a well known NYC cultural institution is looking for a Temp Administrative Assistant to support with front desk and administrative duties. A background in Art History is a plus, as basic knowledge will be helpful.

Salary/Hourly Rate:

$32/hr

Position Overview:

The ideal candidate to fill this Temp Administrative Assistant role will be extremely organized, a team player, and have at least 3 years of previous Administrative experience. The Temp Administrative Assistant provides departmental administrative and front desk support.

Responsibilities of the Temp Administrative Assistant:

  • Providing departmental administrative and front desk support
  • Answering phone calls on the department main line and for curator-in-charge
  • Providing back-up time keeping support
  • Filing departmental correspondence
  • Physically and digitally archiving object-related files
  • Managing and updating departmental calendar
  • Managing database of departmental contacts and providing updated mailing lists as necessary
  • Updating departmental card catalogue indices and object records
  • Liaising with registrar to arrange incoming object shipping
  • Generating departmental loan agreements and liaising with lenders through sign-off
  • Managing loan, gift, and purchase processes and deadlines, and submitting internal paperwork
  • Submitting orders for new and reprinted object labels
  • Managing ongoing cycle of departmental loan renewals
  • Managing outgoing loan processes and deadlines, and submitting internal paperwork
  • Coordinating couriers for outgoing loans

Qualifications for the Temp Administrative Assistant:

  • Must have strong communication skills and a proactive spirit
  • 3+ yrs. of experience in similar professional environment
  • Proficiency in Microsoft suite
  • Ability and desire to work in a fast-paced environment

Education Requirements:

  • Bachelor’s degree is required
  • Art history degree is a plus
