Currently, they are looking to add a Residential Legal Representative to their team.

Salary/Hourly Rate:

$50k – $55k

Position Overview:

The Residential Legal Representative will serve as a vital liaison between property management, tenants, and the legal counsel representing the landlord in Housing Court proceedings. The Residential Legal Representative will possess strong communication skills, the ability to navigate sensitive situations with professionalism, and a solid understanding of housing laws and lease enforcement practices. The Residential Legal Representative plays a key role in ensuring that lease terms are upheld and that all parties are informed and aligned throughout the legal process.

Responsibilities of the Residential Legal Representative:

  • Serve as the primary point of contact for tenant legal matters, including:
    • Responding to tenant inquiries regarding rent and legal actions.
    • Accepting and processing rent payments, including screening and inputting check data into tenant accounts.
    • Completing rental verification letters and forms.
    • Reviewing and processing evictions and legal notices.
  • Coordinate with external legal counsel:
    • Maintain daily correspondence with attorneys to resolve Housing Court matters.
    • Prepare and submit documents for court proceedings and legal filings.
    • Follow up promptly on inquiries and documentation requests from counsel.
  • Manage legal enforcement processes:
    • Review eviction actions, including scheduling or canceling with city marshals.
    • Coordinate with moving companies for scheduled evictions.
    • Monitor and follow up on signed or rejected warrants.
    • Screen monthly arrears reports and initiate legal action as needed.
  • Court representation and documentation:
    • Prepare case files and supporting documentation for court proceedings.
    • Represent the landlord as a witness in NYC Housing Court and Small Claims Court.
    • Prepare tenant audit reports for court or upon request.
  • Track legal case activity:
    • Maintain and update all legal activity in Yardi and internal tracking systems.
    • Monitor the Due Dates Report for DNAR, stipulations, non-payment, and holdover cases; take timely action on each.
    • Record court stipulations, follow up on tenant payments and defaults.
  • Communication and internal coordination:
    • Notify Property Managers and Residential Property Administrators of HPD cases, violations, and required repairs.
    • Follow up on work tickets related to court stipulations and update counsel on status.
    • Keep internal stakeholders informed of all holdover proceedings and legal developments.
  • Additional duties:
    • Notarize documents as needed.

Required Experience/Skills for the Residential Legal Representative:

  • 1 – 2 years of administrative or legal interest experience.

Preferred Experience/Skills for the Residential Legal Representative:

  • Experience in residential property management, housing court procedures, or lease enforcement preferred.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Familiarity with Yardi or similar property management software a plus.
  • Ability to handle sensitive tenant issues with discretion and professionalism.
  • Notary Public certification (or willingness to obtain) preferred. 
  • Comfortable working independently and within a collaborative team environment.

Education Requirements:

  • Bachelor’s degree is required.
