Client Overview:
Our client, a prestigious investment firm with a global presence and a high-touch client service model, is seeking a driven and professional Executive Assistant to join their Manhattan headquarters. They pride on discretion, excellence, and maintaining an efficient, high-performance culture.
Salary/Hourly Rate:
$38/hr – $45/hr
Position Overview:
The Executive Assistant will provide strategic administrative support to a small team of senior executives, ensuring that all logistics, communication, and scheduling needs are handled seamlessly. This role is ideal for someone who thrives under pressure, anticipates needs, and brings a confident presence to a dynamic office environment. The Executive Assistant will act as a trusted liaison and organizational partner in a role with high visibility and responsibility.
Responsibilities of the Executive Assistant:
- Coordinate tightly managed calendars and act as a gatekeeper for internal and external appointments.
- Handle domestic and international travel arrangements, including detailed itineraries and last-minute adjustments.
- Draft, proofread, and prepare confidential correspondence and presentation materials.
- Submit and track expense reports; assist with department billing or invoicing when needed.
- Maintain a smooth office workflow by organizing meetings, handling sensitive documents, and following up on deadlines.
- Interface with high-level clients, internal teams, and third-party partners on behalf of executives.
- Participate in occasional special projects requiring cross-functional coordination and discretion.
Required Experience/Skills for the Executive Assistant:
- 3+ years of experience as an Executive Assistant in a finance, consulting, or corporate environment.
- Advanced knowledge of Microsoft Outlook, Excel, PowerPoint, and Word.
- Strong time management skills with the ability to juggle shifting priorities.
- Excellent verbal and written communication skills.
- Discretion and sound judgment in managing confidential information.
Preferred Experience/Skills for the Executive Assistant:
- Experience supporting executives in an investment or private equity firm.
- Comfort operating in a fast-paced, high-stakes office with senior leadership visibility.
- Familiarity with CRM systems or travel/expense software (e.g., Concur, Salesforce).
- Professional polish and a strong sense of initiative.
Education Requirements:
- Bachelor’s degree required.
