Client Overview:
We are seeking an experienced and dedicated Administrative Support Specialist to join our client’s team at a prestigious higher education institution.
Salary/Hourly Rate:
$24/hr
Position Overview:
The ideal candidate for the Administrative Support Specialist role will have substantial experience in providing high-level administrative support and a proven track record of working in a higher education environment. Proficiency in the Concur expense management system is essential for this role.
Responsibilities of the Administrative Support Specialist:
- Provide comprehensive administrative support to department heads, faculty, and staff, ensuring smooth and efficient office operations.
- Manage and process expense reports and reimbursements using Concur, ensuring accuracy and compliance with institutional policies.
- Oversee complex scheduling, organize meetings, and coordinate events, maintaining detailed calendars and ensuring timely communication and follow-ups.
- Serve as a liaison between departments, faculty, students, and external partners, handling inquiries and correspondence professionally and promptly.
- Maintain accurate records, files, and databases, ensuring confidentiality and compliance with institutional policies and regulations.
- Assist in the planning and execution of special projects, providing logistical and administrative support to ensure successful outcomes.
- Monitor and maintain office supplies, equipment, and facilities, coordinating with vendors and service providers as needed.
Required Experience/Skills for the Administrative Support Specialist:
- Minimum of 1 – 2 years of administrative support experience, preferably in a higher education setting.
- Demonstrated expertise in using Concur for expense management and reporting.
- Exceptional organizational, multitasking, and time-management skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills, with a customer service-oriented approach.
- High level of accuracy and attention to detail in all tasks.
- Ability to handle sensitive information with discretion and maintain a high level of professionalism in all interactions.
Preferred Experience/Skills for the Administrative Support Specialist:
- Experience within a prestigious higher education institution.
- Knowledge of academic administrative processes and procedures.
- Familiarity with other higher education administrative systems and tools.
Education Requirements:
- Bachelor’s degree or equivalent experience in a related field.
