Salary/Hourly Rate:
$30/hr – $35/hr
Position Overview:
The Engineering Billing Specialist plays a critical role in supporting the financial operations of complex engineering projects. This position is heavily integrated with project teams and requires a strong understanding of engineering contracts, project lifecycles, and cost structures. The ideal candidate will bridge the gap between engineering operations and finance by ensuring accurate, compliant billing aligned with project scope and deliverables.
Responsibilities of the Engineering Billing Specialist:
- Prepare, review, and process high-volume monthly invoices tied to public-sector engineering projects, ensuring alignment with project milestones and deliverables.
- Interpret and apply engineering contracts, including task orders, amendments, and fee schedules, to maintain billing accuracy and compliance.
- Set up and maintain project records within the accounting system based on engineering project parameters, including labor categories, billing rates, and authorization limits.
- Monitor project budgets, burn rates, and contract balances to support accurate financial tracking across engineering engagements.
- Perform monthly project-level reconciliations, identifying and resolving discrepancies related to labor, expenses, and contract terms.
- Collaborate directly with Project Managers and Engineering teams to resolve billing issues, clarify scope changes, and address client inquiries.
- Generate detailed billing and project reports to support engineering leadership in decision-making and project oversight.
- Ensure timely entry and validation of project expenses, including labor hours and reimbursables, in alignment with engineering activities.
Required Experience/Skills for the Engineering Billing Specialist:
- 3 – 5 years of experience in engineering or project-based billing environments.
- Strong proficiency in Microsoft Excel, with the ability to manage and analyze project financial data.
- Solid understanding of project-based workflows, preferably within engineering, construction, or related technical fields.
- Excellent organizational, analytical, and time-management skills.
- Strong communication skills, with the ability to work effectively alongside technical and non-technical stakeholders.
Preferred Experience/Skills for the Engineering Billing Specialist:
- Advanced Excel skills (e.g., pivot tables, lookups, data analysis) with a focus on project financial reporting.
- Experience with billing/accounting systems used in engineering environments (e.g., Deltek).
- Familiarity with public-sector engineering contracts and compliance requirements.
Education Requirements:
- Associate’s degree is required.
- Bachelor’s degree (preferably in Business, Finance, or a related field) is strongly preferred.
