Client Overview:

Our client, a well-established hedge fund, is seeking an experienced and highly dependable Office Assistant to support day-to-day operations in a fast-paced investment environment. This role is ideal for a polished administrative professional who enjoys being the backbone of an office and takes pride in keeping operations running smoothly.

Salary/Hourly Rate:

$25/hr
$56k Annually upon conversion to permanent

Position Overview:

The Office Assistant will provide comprehensive administrative and operational support to multiple teams within the organization. The ideal candidate brings 5+ years of office assistant experience, exceptional organizational skills, and the professionalism required to thrive in a corporate financial environment. This position requires someone proactive, detail-oriented, and comfortable handling a variety of responsibilities while maintaining confidentiality and a high level of service.

Responsibilities of the Office Assistant:

  • Manage day-to-day office operations and administrative functions.
  • Answer phones, greet visitors, and maintain a professional office environment.
  • Coordinate conference rooms, meetings, and catering requests.
  • Order and maintain office and kitchen supplies.
  • Process incoming and outgoing mail, packages, and deliveries.
  • Assist with calendar coordination and scheduling as needed.
  • Support expense reporting, filing, scanning, and document management.
  • Coordinate with vendors, building management, and service providers.
  • Maintain organized records and office systems.
  • Provide administrative support for special projects and team initiatives.

Required Experience/Skills for the Office Assistant:

  • 5+ years of Office Assistant experience is required.
  • Previous experience in a corporate or professional services environment.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
  • Strong attention to detail and follow-through.
  • Professional demeanor and ability to handle confidential information.
  • Ability to thrive in a fast-paced, team-oriented environment.

Preferred Experience/Skills for the Office Assistant:

  • Experience within financial services, investment firms, hedge funds, or private equity environments.
  • Exposure to supporting executive teams or high-level professionals.
  • Vendor coordination and office operations experience.

Education Requirements:

  • Bachelor’s degree is preferred.
