Salary/Hourly Rate:
$80k – $100k
Position Overview:
Our client is seeking an Administrative Assistant to provide comprehensive support to the Commercial team. This role requires strong organizational skills and the ability to manage multiple tasks efficiently in a fast-paced corporate environment. The position reports directly to the Vice President.
Responsibilities of the Administrative Assistant:
- Manage calendar(s) with the ability to anticipate conflicts, prioritize meetings, and handle last-minute changes.
- Book travel and accommodation as needed.
- Prepare and process expense reports.
- Coordinate and order office supplies.
- Manage the legal invoice process, including tracking invoices, facilitating internal review and approval, communicating revisions with outside counsel, submitting approved invoices for processing and payment, and liaising with accounting and outside counsel to support timely processing and payment.
- Assist with ad hoc special projects as assigned.
Required Experience/Skills for the Administrative Assistant:
- Minimum of 2+ years of administrative assistant experience in a corporate or legal environment.
- Experience handling highly confidential data with discretion.
- High level of professionalism and maturity.
- Strong verbal and written communication skills.
- Excellent time management and organizational skills.
- Detail-oriented team player.
- Proficient in Microsoft Outlook, with strong knowledge of Microsoft Word, Excel, and PowerPoint.
- Ability to work effectively with a wide range of management levels.
- Comfortable working in a fast-paced environment with the ability to multitask, shift direction easily, and prioritize
Preferred Experience/Skills for the Administrative Assistant:
- Experience supporting senior executives or Legal teams.
- Familiarity with legal invoice management systems.
- Strong problem-solving skills and adaptability.
- Ability to work independently and collaboratively in a team setting.
Education Requirements:
- Bachelor’s degree is required.
