Client Overview:

A nonprofit transportation and operations organization is seeking a Human Resources & Administration Coordinator to support human resources operations, payroll administration, employee relations, recruitment, and compliance initiatives. This role plays a key part in creating a positive employee experience while ensuring efficient HR processes and organizational support.

Salary/Hourly Rate:

$30/hr – $35/hr

Position Overview:

The Human Resources & Administration Coordinator is passionate about employee support and thrives in a collaborative, mission-driven environment. This role provides day-to-day HR and administrative support, including recruitment coordination, onboarding, payroll processing, benefits administration, employee relations, compliance, and training initiatives. Strong organizational skills, attention to detail, confidentiality, and communication abilities are essential.

Responsibilities of the Human Resources & Administration Coordinator:

  • Recruitment Support — Coordinate recruitment activities, candidate outreach, and communication throughout the hiring process.
  • Onboarding & Orientation — Manage new hire onboarding, orientation, and integration to ensure a positive employee experience.
  • Job Description Management — Maintain accurate job descriptions and assist with workforce planning initiatives.
  • Employee Relations Support — Serve as a point of contact for employee questions, concerns, and HR-related inquiries.
  • Manager Support — Partner with managers to address workplace issues and foster a positive work environment.
  • Employee Engagement — Support recognition programs, employee engagement initiatives, and internal communication efforts.
  • HR Records Administration — Maintain and update employee records while ensuring data accuracy and confidentiality.
  • Regulatory Compliance — Ensure compliance with federal, state, and local employment laws, regulations, and company policies.
  • Audit & Reporting Support — Assist with HR audits, reporting requirements, and compliance documentation.
  • Benefits Administration — Support employee benefit enrollments, plan changes, and benefits-related inquiries.
  • Open Enrollment Coordination — Assist with annual open enrollment activities and employee communications.
  • Payroll Administration — Support the processing of biweekly and special payrolls while ensuring accuracy for exempt and non-exempt employees.
  • Compensation Support — Assist with compensation reviews, payroll coordination, and related HR processes.
  • Training & Development — Coordinate training opportunities and monitor completion of required compliance training programs.
  • Performance Management Support — Assist with performance review cycles and performance documentation processes.
  • HR Projects — Participate in special projects, process improvements, and departmental initiatives as assigned.
  • Policy Implementation — Support the implementation and communication of HR policies and procedures across the organization.
  • Confidentiality & Professionalism — Handle sensitive employee and payroll information with discretion and professionalism.

Required Experience/Skills for the Human Resources & Administration Coordinator:

  • 2-3 years of experience in human resources, payroll, or an administrative support role.
  • Knowledge of HR principles, employee relations practices, and employment regulations.
  • Experience supporting recruitment, onboarding, benefits administration, and payroll processes.
  • Strong interpersonal and communication skills with the ability to interact effectively at all levels of an organization.
  • Excellent verbal and written communication abilities.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Proficiency with Microsoft Office Suite, particularly Excel.
  • Strong problem-solving skills and a proactive approach to supporting employees and management.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Collaborative, responsive, and team-oriented professional who works effectively across departments.

Preferred Experience/Skills for the Human Resources & Administration Coordinator:

  • Experience with ADP payroll systems or similar payroll platforms.

Education Requirements:

  • Bachelor’s Degree in Human Resources, Business Administration, or a related field preferred.
  • Equivalent human resources or administrative experience will be considered.
