Client Overview:

Our client, a creative and fast-growing marketing and advertising agency based in New York City, is seeking an organized and adaptable Administrative Assistant to join their dynamic team. The agency is known for its collaborative culture, innovative campaigns, and high-profile clientele across lifestyle, entertainment, and consumer brands.

Position Overview:

The Administrative Assistant will play a key role in supporting daily operations, internal scheduling, and team logistics. The ideal Administrative Assistant is detail-oriented, resourceful, and comfortable in a fast-paced, creative environment. Responsibilities of the Administrative Assistant:

  • Provide administrative support to department heads, account teams, and project managers.
  • Manage internal calendars, schedule meetings, and book conference rooms.
  • Prepare client-facing materials, decks, and reports as needed.
  • Support travel coordination and expense tracking for senior staff.
  • Maintain internal filing systems and update contact databases.
  • Greet visitors and provide front-desk coverage as needed.
  • Order office supplies and assist with team events and onboarding coordination.
  • Help track deadlines and deliverables across departments.
  • Act as the go-to Administrative Assistant for internal communications and day-to-day needs.
  • Take on special projects and cross-team support as assigned.

Required Experience/Skills for the Administrative Assistant:

  • 1–3 years of experience in an Administrative Assistant or office support role.
  • Excellent organizational and communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to work effectively under pressure and manage multiple deadlines.
  • Professional demeanor and strong attention to detail.

Preferred Experience/Skills for the Administrative Assistant:

  • Prior experience in a marketing, PR, or creative agency environment.
  • Familiarity with platforms like Slack, Google Workspace, or Asana.
  • Interest in creative industries, branding, and media campaigns.
  • Ability to support multiple team members in a high-volume environment.

Education Requirements:

  • Bachelor’s Degree preferred.
