Our client is a well-established, fast-growing engineering firm located in the greater Monmouth County area. They are seeking a skilled Billing Administrator to join their expanding team. This organization is continuing to grow and seeking a professional who can succeed both collaboratively and independently in a dynamic environment.
Salary/Hourly Rate:
$30/hr – $35/hr
Position Overview:
The Billing Administrator will manage high-volume monthly project billing, collaborate with vendors, and oversee billing coordination processes. This role works closely with the Finance department. Experience with financial analysis and data entry is highly desirable.
Responsibilities of the Billing Administrator:
- Prepare, review, and process high-volume monthly project invoices for public-sector engineering projects.
- Analyze and apply public contracts, task orders, amendments, and fee schedules to ensure billing accuracy and compliance.
- Establish and maintain projects within the accounting system in alignment with contract terms, billing rates, and authorization thresholds.
- Track project budgets and contract balances to ensure precise billing.
- Complete monthly project budget reconciliations and investigate any discrepancies.
- Partner with Project Managers to address billing inquiries, contract-related concerns, and client questions.
- Generate and support ad hoc billing and project reporting as needed.
- Input and validate project expenses and billing data every week.
Required Experience/Skills for the Billing Administrator:
- 3 – 5 years of experience in engineering and project billing.
- Proficiency in Microsoft Excel.
- Strong organizational and time-management abilities.
- Excellent communication, customer service, and interpersonal skills.
Preferred Experience/Skills for the Billing Administrator:
- Advanced Excel capabilities and billing analysis experience.
- Familiarity with billing or accounting software is a plus.
- Experience with Deltek is preferred.
Education Requirements:
- Associate’s degree is required.
- Bachelor’s degree is strongly preferred.
