Our client is a global real estate investment, development, and operating firm headquartered in New York City. The company develops, owns, and manages premier office, residential, and mixed-use properties in major cities worldwide, known for high-quality design, operations, and workplace environments. Our client is seeking a polished and highly detail-oriented Office Services Administrative Assistant to support the Director of Office Services at the firm’s headquarters.

Responsibilities of the Office Services Administrative Assistant:

  • Perform regular office walkthroughs to ensure a clean, organized, and well-maintained environment.
  • Identify and report maintenance or repair needs, coordinating service requests through internal channels as needed.
  • Liaise with vendors, building management, and service providers to ensure the timely completion of facilities tasks.
  • Maintain conference rooms, common areas, and shared spaces in a presentation-ready state.
  • Provide comprehensive administrative support to the Director of Office Services, including scheduling and documentation.
  • Track and manage maintenance requests, vendor work orders, and ongoing facilities projects.
  • Assist with operational meetings and document office walkthrough findings.
  • Coordinate workplace logistics such as conference room setups, deliveries, and daily operational needs.
  • Foster a professional and approachable office presence, communicating effectively with employees and executives.
  • Uphold professional standards in attire and conduct consistent with company culture.

Required Experience/Skills for the Office Services Administrative Assistant:

  • 2 – 4 years of experience in administrative support, office operations, or facilities coordination.
  • Strong attention to detail with proactive problem identification.
  • Excellent organizational skills and ability to manage multiple priorities simultaneously.
  • Comfortable engaging with senior executives and external vendors.
  • Professional demeanor with strong interpersonal and communication skills.
  • Ability to bring structure and efficiency to dynamic operational environments.

Education Requirements:

  • Bachelor’s degree is required.
