Client Overview:
Our client is a prestigious private organization dedicated to advancing the frontiers of research in mathematics and the basic sciences. Based in New York City, they offer a collaborative, mission-driven environment that supports innovative scientific initiative. They are looking for a driven, motivated Administrative Assistant to join their team.
Salary/Hourly Rate:
$27/hr – $32/hr
Position Overview:
Our client is seeking a detail-oriented and proactive Administrative Assistant to support the Chief of Staff and President. The ideal candidate is a team player with excellent administrative skills and event coordination experience.
Responsibilities of the Administrative Assistant:
- Provide administrative support to the Chief of Staff and occasional support to the General Counsel.
- Manage scheduling, travel arrangements, calendar coordination, and expense processing.
- Assist with hosting and coordinating workshops, leadership meetings, conferences, and a summer school program.
- Support event planning, including catering, A/V, presentation preparation, setup, and breakdown.
- Create PowerPoint and Google Slides presentations.
- Maintain internal calendars and update associated webpages.
- Attend meetings, take minutes, and follow up on action items.
- Onboard new staff and support visiting guests, interns, and research staff.
- Provide back-up executive support to the President as needed.
- Screen phone calls and inquiries, greet guests, and handle special projects.
- Perform other duties as assigned.
Required Experience/Skills for the Administrative Assistant:
- 3 – 4 years of experience as an Administrative Assistant providing high-level administrative support, including calendar and travel management.
- Strong project and event coordination experience.
- Excellent written and verbal communication skills.
- Ability to multitask, prioritize, and work independently with high attention to detail.
- Proficiency in Microsoft Office (PowerPoint, Word, Excel), Google Apps, and Concur.
- Comfortable working in a fast-paced, dynamic environment and handling confidential information.
- Flexibility to work longer hours during events (3–6 days per month).
- Punctual, professional, and highly organized.
Preferred Experience/Skills for the Administrative Assistant:
- Experience working in nonprofit organizations or academic institutions as an Administrative Assistant.
- Familiarity with cloud-based platforms such as Dropbox and Google Suite.
- Ability to build strong relationships across all levels while maintaining discretion and professionalism.
Education Requirements:
- Bachelor’s degree preferred.
