Client Overview:
Our client is a leading medical society dedicated to accelerating the advancement of healthcare through multidisciplinary collaboration, education, and advocacy. Core activities of our client are focused on leading scientific discoveries, advancing professional development, impacting global health, and transforming patient care. They are seeking a Conference/Scheduling Administrative Manager to join their team on a temp-to-perm basis.
Salary/Hourly Rate:
$35/hr – $40/hr (Temp)
$80k – $90k DOE (Perm)
Position Overview:
The Conference/Scheduling Administrative Manager will perform all functions related to logistics and planning for international conferences, special events, leadership summits, and day-to-day meetings. The Conference/Scheduling Administrative Manager is the liaison between their clients and vendors, as well as event spaces, working closely year-round. They will be responsible for planning all executive-level meetings.
Responsibilities of the Conference/Scheduling Administrative Manager:
- Management of yearly international Conference logistics – vendor sourcing, floorplan requests, audio/visual needs, temp event staffing, furniture rentals, catering, signage, etc.
- Oversee all hiring, training, and orientation for employees working events.
- Responsible for all registration information.
- Inventory and database management for all events and guests.
- Liaise with stakeholders and check in weekly.
- Direct managerial support to the Director and team on all aspects of yearly event planning.
- Budget tracking and invoice reconciliation on a corporate level.
- Contract negotiations for meeting space and venue booking.
- Post-event summary report compilation.
Required Experience/Skills for the Conference/Scheduling Administrative Manager:
- 5 years of meeting planning experience.
- Ability to manage several projects at once and work well under pressure.
- Ability to manage all end-to-end aspects of meeting and event planning.
- Familiarity with contracts and negotiation experience.
- Strong written/oral communication.
- Experienced with Microsoft Excel on an intermediate-advanced level.
- Willingness to travel approximately 1 – 2 times a quarter, up to 30 days annually.
Preferred Experience/Skills for the Conference/Scheduling Administrative Manager:
- 2 years of “city-wide” events management.
- Medical or nonprofit background.
Education Requirements:
- Bachelor’s degree in a related field is required.
