Client Overview:
Our client, a well-established media and communications agency known for its creative culture and high-profile clientele, is seeking a savvy and adaptable Executive Assistant to support senior executives. The agency is based in Midtown Manhattan and operates at the intersection of media, branding, and corporate communications. Salary/Hourly Rate:
$40/hr – $45/hr Depending on experience
Position Overview:
The Executive Assistant will provide executive-level support to leadership across business development, strategy, and client management. The ideal Executive Assistant is highly organized, personable, and experienced in working in fast-moving, deadline-driven creative environments. The Executive Assistant will play a pivotal role in helping senior leaders stay focused, efficient, and prepared as they manage multiple client accounts and initiatives.
Responsibilities of the Executive Assistant:
- Manage complex calendars and ensure executives are prepared for meetings, presentations, and client calls.
- Coordinate domestic and occasional international travel arrangements, including itineraries and logistics.
- Draft and proof internal communications, client decks, and meeting recaps.
- Handle expenses, reconcile budgets, and assist with client billing coordination.
- Field communications from clients, partners, and media contacts with professionalism.
- Organize internal team meetings, creative briefings, and off-site planning sessions.
- Maintain confidentiality and anticipate the needs of executives with a proactive approach.
Required Experience/Skills for the Executive Assistant:
- 5+ years of experience as an Executive Assistant in an agency, creative, or communications environment.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Strong communication and writing skills, with high attention to detail.
- Ability to remain composed and adaptable in a fast-paced, client-facing setting.
- Strong organizational skills and ability to manage multiple competing deadlines.
Preferred Experience/Skills for the Executive Assistant:
- Previous experience in media, public relations, or marketing industries.
- Familiarity with presentation tools (e.g., Keynote, Canva, Adobe Acrobat).
- Understanding of agency workflows and timelines.
- Experience supporting executives in both business and creative roles.
Education Requirements:
- Bachelor’s degree is required.
