Our client, a boutique financial services office located in South Miami, FL, is looking to add an Executive Assistant to their growing team. This role would serve as an Executive in office capability with the capability to assist with light personal assisting as needed. The office oversees multiple properties and investments and maintains a highly professional yet family-oriented environment.
Salary/Hourly Rate:
$70k – $85k Depending on experience
Position Overview:
Our Client is seeking a highly organized, proactive, and discreet Executive Assistant. This role will offer exposure to both executive and personal assisting. The Executive Assistant will provide seamless support to the Founder, their household, and the family office team. This newly created position is designed to streamline administrative, household, and office operations. The EA/PA will manage a mix of professional and personal priorities, including scheduling, travel coordination, vendor relations, errands, and ad hoc projects. The ideal candidate is resourceful, tech-savvy, and thrives in a small, collaborative environment.
Responsibilities of the Executive Assistant:
- Provide executive administrative and personal support to the Founder and his family, as well as the Office team.
- Manage scheduling for family and office needs, including domestic and occasional international travel.
- Assist with property and household coordination, including vendor management and maintenance scheduling.
- Handle personal errands and occasional in-person support at the Founder’s nearby home.
- Assist with office operations such as document management, supply ordering, mail handling, and courier services.
- Support event planning for family gatherings and entertainment.
- Provide light support to accounting and investment teams (document filing, portal management, capital call tracking).
- Support basic clerical and document management tasks, including document retrieval, filing, and spreadsheet tracking.
- Liaise between vendors, staff, and family members to ensure seamless communication and execution of tasks.
- Maintain discretion and professionalism while managing sensitive family and business information.
Required Experience/Skills for the Executive Assistant:
- 5+ years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative support role.
- Proven ability to manage a variety of personal and professional priorities with confidentiality and discretion.
- Strong organizational skills, attention to detail, and a proactive, self-starter mindset.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Preferred Experience/Skills for the Executive Assistant:
- Bilingual in English & Spanish is highly preferred.
- Experience supporting high-net-worth individuals, executives, or family offices.
- Exposure to financial services or other professional services industries.
- Basic familiarity with Excel functions.
Education Requirements:
- Bachelor’s degree is preferred but not required.
