Client Overview:
Our client is a fast-growing startup in the commercial real estate sector, specializing in innovative property solutions. They are currently looking to add an Executive Assistant to their team. Salary/Hourly Rate:
$30/hr – $35/hr
Position Overview:
The Executive Assistant will provide high-level administrative and business support to the principal, ensuring efficient operations and effective time management. Support includes document management, project coordination, financial and contract administration, travel logistics, and process improvement.
Responsibilities of the Executive Assistant:
- Manage and maintain executive schedules, including meetings and appointments.
- Coordinate travel arrangements and logistics.
- Prepare, review, and organize documents, reports, and correspondence.
- Support project management and track deliverables.
- Assist with financial statements, invoices, and contract administration.
- Conduct research and compile data for presentations and decision-making.
- Facilitate communication between the principal and internal/external stakeholders.
- Implement and improve office systems and processes.
- Prepare agendas and arrange catering for meetings.
- Greet visitors and determine access to the principal.
- Supervise and train lower-level clerical staff as needed.
- Maintain records management and filing systems.
- Attend meetings and record minutes.
- Provide clerical support to other departments.
- Interpret and set up administrative policies and procedures.
- Review workflow and recommend improvements.
- Process payroll information and support HR functions.
- Coordinate office services, including budget preparation and personnel issues.
Required Experience/Skills for the Executive Assistant:
- Minimum of 3 years of experience in executive support or administrative roles.
- Proficiency in word processing, spreadsheet, database, and presentation software.
- Strong organizational and time management abilities.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Experience in travel logistics and calendar management.
- Attention to detail and accuracy.
- Ability to coordinate multiple projects simultaneously.
- Problem-solving and process improvement skills.
Education Requirements:
- Bachelor’s degree in Business Administration, Real Estate, or a related field is preferred.
