Client Overview:

Our client is a San Francisco-based investment company with 15 – 20 employees, primarily composed of an investment team, offering an entrepreneurial, polished, and client-focused environment. They are now looking for a Executive Assistant (Contract).

Salary/Hourly Rate:

$48/hr – $50/hr

Position Overview:

The Executive Assistant (Contract) will provide high-level executive support to two senior leaders and one Co-Founder, ensuring seamless operations and the effective prioritization of competing demands. This role includes managing complex Outlook calendars with discretion, coordinating both internal and external meetings, and overseeing comprehensive domestic and international travel logistics such as flights, accommodations, and itineraries. The Executive Assistant (Contract) will also process and reconcile expense reports in line with company policies and deadlines, assist in the planning and execution of year-end events including the annual kickoff in December, and support light deal and administrative tracking activities by maintaining organized records and ensuring timely follow-up.

Responsibilities of the Executive Assistant (Contract):

  • Calendar Management: Oversee multiple complex Outlook calendars, scheduling internal and external meetings per, proactively resolving conflicts, and ensuring executives are fully prepared with agendas and materials.
  • Travel Coordination: Plan and execute domestic and international travel for senior leaders, book multi-leg itineraries, accommodations, and ground transportation, and manage last-minute changes with minimal disruption.
  • Expense Management: Process and reconcile monthly expenses, ensure accurate coding, policy compliance, and timely submission to Finance.
  • Event Support: Partner with Operations to organize the annual year-end kickoff event, coordinating venues, catering, vendor contracts, and logistics for 100+ attendees.
  • Administrative/Deal Tracking: Maintain accurate records of administrative and deal-related activities, track deadlines, follow-ups, and deliverables to ensure smooth project execution.

Required Experience/Skills for the Executive Assistant (Contract):

  • 5 – 10 years Executive Assistant experience within Professional Services (investment, finance, consulting, legal, etc.).
  • Highly polished, professional presence; the EA is the face of the San Francisco office.
  • Expert Outlook calendar management.
  • Strong travel/expense experience; discretion and urgency in an entrepreneurial setting.

Preferred Experience/Skills for the Executive Assistant (Contract):

  • Financial services experience is a plus.

Education Requirements:

  • High school diploma or equivalent.
