Our client seeks an Executive Assistant/Office Manager to join their team.

Salary/Hourly Rate:

$90k – $100k, plus 15% – 20% Annual bonus eligibility

Position Overview:

This is an exciting opportunity for a professional Executive Assistant/Office Manager with strong office management skills to support a senior investment Banking team in San Francisco. The Executive Assistant/Office Manager will act as the central point of coordination for the office, balancing high-level administrative support with oversight of daily operations. This role requires a proactive, resourceful, and detail-oriented individual who thrives in a fast-paced, client-driven environment.

Responsibilities of the Executive Assistant/Office Manager:

  • Provide comprehensive administrative support as the Executive Assistant/Office Manager to several senior bankers, including calendar management, scheduling, and domestic/international travel coordination.
  • Prepare and process expense reports, vendor invoices, and reimbursements with accuracy.
  • Serve as the main point of contact for office operations, supplies, and facilities needs.
  • Plan and coordinate meetings, client visits, and team events, ensuring professional execution and attention to detail.
  • Liaise with vendors, building management, and internal teams to maintain a well-functioning office environment.
  • Support HR and recruiting initiatives, including interview scheduling, onboarding, and new-hire logistics.
  • Maintain reception coverage as needed and assist with office culture initiatives, including celebrations and team outings.

Required Experience/Skills for the Executive Assistant/Office Manager:

  • Minimum 3 years of administrative experience, ideally as an Executive Assistant in a corporate or professional services environment.
  • Exceptional organizational, communication, and multitasking skills.
  • Proactive problem-solver with excellent judgment and ability to work independently.
  • High level of attention to detail and professionalism when handling confidential information.
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams).

Preferred Experience/Skills for the Executive Assistant/Office Manager:

  • Experience supporting executives or senior leaders in financial services, investment banking, or consulting.
  • Confident and polished communication skills; comfortable interacting with senior stakeholders and clients.
  • Tech-savvy and adaptable to systems such as Zoom, Concur, and CRM tools.

Education Requirements:

  • Bachelor’s degree is required.
