Our client, a small-mid sized company in the aviation space, is seeking a Junior Administrative Assistant to support their payroll division.

Salary/Hourly Rate:

$22 – $24/hr + benefits

Position Overview:

The Junior Administrative Assistant position plays a crucial role by providing comprehensive payroll and administrative assistance, including meticulous auditing, ensuring compliance, processing payroll, and managing various administrative tasks. Prior payroll experience for this Junior Administrative Assistant role not required.

Responsibilities of the Junior Administrative Assistant:

  • Thoroughly understand and ensure compliance
  • Report updates, discrepancies, errors, and potential disqualifications to HR Leadership
  • Submit accurate and audited pilot pay information to the Payroll Manager
  • Monitor and ensure timely follow-up with pilot pay distribution group emails
  • Foster strong business relationships and be readily available for inquiries and assistance
  • Generate accurate and timely scheduled and unscheduled reports
  • Investigate and resolve pay issues or concerns promptly
  • Maintain and audit personnel and pay information in ADP, as well as other HR records
  • Coordinate and process office orders
  • Act as the primary payroll backup as needed, including processing bi-weekly payroll
  • Manage feedback forms, emails, and follow-up for Company Feedback forms
  • Assist with special projects and undertake additional duties as assigned

Qualifications for the Junior Administrative Assistant:

  • Strong written and oral communication skills are essential
  • Preferably, 2 years of payroll experience, with ADP experience being highly desirable
  • Proficiency in computer skills, particularly in creating and formatting Excel spreadsheets, is highly preferred
  • Professional demeanor, capable of working independently and collaboratively
  • Ability to effectively manage multiple priorities and functions in a fast-paced environment
  • Keen attention to detail
  • Excellent customer service skills, demonstrating a genuine desire to assist others
