Our client is a leading commercial real estate firm specializing in property management, leasing, and investment services. They are now looking for a Manager of Lease Administration.

Position Overview:

The Manager of Lease Administration will play a critical role in overseeing all aspects of lease administration for our commercial real estate portfolio. This individual will ensure accuracy and compliance with lease terms, manage lease documentation, and collaborate closely with internal teams and external stakeholders. This role will oversee a team of 2 direct reports.

Responsibilities of the Manager of Lease Administration:

  • Oversee the preparation, execution, and maintenance of lease documents, including leases, amendments, renewals, and terminations.
  • Ensure all lease documentation is accurate, complete, and compliant with company policies and legal requirements.
  • Maintain organized electronic and physical lease files for easy accessibility and reference.
  • Monitor lease terms and conditions to ensure compliance with contractual obligations, including rent escalations, lease expirations, and tenant obligations.
  • Proactively identify and address discrepancies or issues related to lease terms and conditions.
  • Work closely with legal counsel and property management teams to resolve lease-related disputes and issues.
  • Serve as a primary point of contact for tenants regarding lease-related inquiries, including rent payments, lease terms, and lease interpretation.
  • Foster positive tenant relationships through clear communication and prompt resolution of lease-related concerns.
  • Collaborate with property management teams to address tenant requests and concerns in a timely and professional manner.
  • Coordinate with accounting teams to ensure accurate and timely billing of rents, operating expenses, and other charges to tenants.
  • Review and analyze lease-related financial data, including rent rolls, lease abstracts, and occupancy reports.
  • Assist in the preparation of annual operating budgets and forecasts by providing lease-related information and analysis.
  • Identify opportunities to streamline lease administration processes and enhance operational efficiency.
  • Develop and implement best practices and standardized procedures for lease administration tasks.
  • Stay abreast of industry trends and technologies to continuously improve lease administration practices.

Required Experience/Skills for the Manager of Lease Administration:

  • CAM and Tax reconciliation experience.
  • Experience working on the landlord side.
  • Minimum of 5 years of experience in commercial real estate lease administration, preferably in a managerial or supervisory role.
  • Strong understanding of commercial lease terms, legal documents, and lease administration processes.
  • Excellent organizational skills with a keen attention to detail and accuracy.
  • Proven ability to effectively communicate and collaborate with internal and external stakeholders.
  • Proficiency in Microsoft Office Suite and lease management software (e.g., MRI, Yardi).
  • Knowledge of real estate accounting principles and financial analysis.
  • Ability to work independently and prioritize tasks in a fast-paced environment.

Preferred Experience/Skills for the Manager of Lease Administration:

  • Professional designation such as Certified Lease Administrator (CLA) or similar is a plus.

  • Bachelor’s degree.
