Position Overview

The Office Assistant will play a crucial role in ensuring the smooth operation of our office, supporting our staff, and maintaining a productive and efficient work environment. The ideal candidate will have excellent communication skills, a proactive attitude, and the ability to handle multiple tasks simultaneously.

Responsibilities of the Office Assistant:

  • Office Administration: Manage day-to-day office operations, including ordering supplies, maintaining office equipment, and ensuring the office environment is clean and organized.
  • Staff Support: Assist with onboarding new employees, maintaining employee records, and coordinating training sessions.
  • Scheduling and Coordination: Manage calendars, schedule meetings, and coordinate office events and activities.
  • Customer Service: Serve as the first point of contact for clients and visitors, providing exceptional customer service and directing inquiries to the appropriate team members.
  • Communication: Facilitate internal and external communication, including drafting and distributing emails, memos, and other correspondence.
  • Record Keeping: Maintain accurate records and files, both electronic and physical, ensuring confidentiality and compliance with company policies.
  • Budget Management: Assist in budget preparation and expense tracking, ensuring efficient use of office resources.
  • Problem Solving: Address and resolve any office-related issues promptly and effectively.

Required Experience/Skills for the Office Assistant:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving skills.

Preferred Experience/Skills for the Office Assistant:

  • Knowledge of the mortgage loan industry is a plus, but not required.

Education Requirements:

  • High school diploma is required.
