Position Overview:
We are expanding our WORKS team to support exciting new business with a network of creative, production, and marketing agencies. As part of this growth, we are hiring a detail-oriented and service-driven Onboarding Coordinator to help deliver a seamless experience for our Associates.
This newly added role is a key part of our onboarding function and will report to the Onboarding Lead. You’ll be responsible for managing the full onboarding process for client-identified/payrolled employees, ensuring accuracy and compliance with federal and state regulations, and maintaining a high standard of service.
We are seeking an Onboarding Coordinator to be a part of the Contingent Workforce Solutions (CWS) Team. This role requires attention to detail, the ability to work independently in a fast-paced, deadline-oriented environment. In this role, you will be expected to manage the complete onboarding process for client pre-identified/payrolled employees, ensuring adherence to all state and federal regulations.
This role is 100% account administration-focused, with a strong emphasis on accuracy, communication, and excellent customer service delivery. Here’s what you should know if you want to join our team.
Responsibilities of the Onboarding Coordinator:
As an Onboarding Coordinator, you will play a critical role in ensuring Associates are set up for success from day one. Your responsibilities will include:
- Facilitating onboarding activities in Atrium HRIS (Bullhorn), including:
- Federal and state-mandated documentation (Form I-9, W-4, state tax forms).
- Client-specific paperwork.
- Pre-employment screenings.
- Welcome phone calls (using Zoom).
- Additional onboarding tasks as needed.
- Executing follow-ups with Associates to ensure the timely completion of onboarding steps using tools like Front, TextUS.
- Maintaining accurate records by validating and updating Associate information in Atrium’s HRIS and timekeeping system.
- Tracking onboarding progress using Excel and/or Google Sheets to ensure visibility and accountability.
Required Experience/Skills for the Onboarding Coordinator:
- Have at least 1 year of experience in customer service, employee onboarding, HR administration, or a related field.
- Communicate clearly, calmly, and professionally, especially when guiding others through processes.
- Approach your work with empathy and patience, understanding the challenges of onboarding.
- Are curious and attentive – asking the right questions and listening actively.
- Enjoy sharing knowledge and supporting others in a thoughtful, inclusive way.
- Take pride in creating positive experiences and delivering excellent service.
- Spot issues early and offer practical, well-considered solutions.
- Meticulous with documentation and data entry.
- Bring a positive, team-oriented mindset to your work.

- Ability to sit for extended periods of time.
Education Requirements:
- No Bachelor’s degree required – experience and skills are valued over formal education.
