Position Overview:
We are seeking a Proposal Coordinator who will lead the coordination and delivery of high-quality proposals that help win new business. This role is centered on project management. You will organize every stage of the proposal process, keep tasks moving, and make sure teams have what they need. You will work closely with the RFP Manager, internal contributors, and client-facing teams to produce clear, accurate, and compliant submissions. Writing and editing come up at times, but the primary focus is managing timelines, people, and information. Strong knowledge of the staffing and workforce solutions industry is important so you can identify what each proposal requires and guide the process with confidence. You may also support occasional marketing projects that align with your writing and project management skills.
Responsibilities of the Proposal Coordinator:
- Manage the full proposal process from kickoff through submission.
- Partner closely with the RFP Manager to plan, track, and deliver all proposal activities.
- Serve as the central point of contact for internal teams during the proposal cycle.
- Support the development of RFP strategies and help reinforce best practices across the team.
- Manage timelines, schedules, assignments, and review cycles to ensure timely completion.
- Ensure all submissions meet company standards and RFP requirements.
- Review opportunities to confirm fit with our capabilities and business model.
- Lead all proposal project management tasks, including intake, qualification calls, template setup, task assignment, status updates, review sessions, formatting, and delivery.
- Coordinate input from SMEs, pricing, operations, business development, and other contributors.
- Stay informed on our solutions, services, and messaging so proposals reflect accurate and competitive information.
- Work with Marketing to maintain brand consistency and improve document appearance.
- Track and analyze proposal outcomes and identify areas for improvement.
- Maintain and update templates, standard responses, and the proposal content library.
- Conduct research to tailor responses to client requirements and industry needs.
- Proofread and review submissions to ensure clarity, accuracy, and consistency.
Required Experience/Skills for the Proposal Coordinator:
- Three or more years of proposal coordination or proposal writing experience, preferably in staffing or contingent workforce solutions.
- Superior project management skills and the ability to manage multiple proposals in a fast-paced environment.
- Proficient writing and editing skills with strong attention to detail.
- Comfortable working with teams across all levels and departments.
- Proficiency in Microsoft Word, PowerPoint, and Excel.
- Experience with online procurement or proposal platforms such as Ariba or Scout.
- HubSpot experience.
- Strong critical thinking and the ability to remain calm under pressure.
- A hands-on, team-focused approach.
- Writing samples encouraged with application.
Physical Requirements:
- Ability to sit for extended periods of time.
- Ability to work a hybrid schedule with three days per week in our Jacksonville, FL, office.
Education Requirements:
- Bachelor’s degree is required.
