Salary/Hourly Rate:
$18/hr
Position Overview:
The Temporary Office Assistant will be the first point of contact for our clients and visitors. This role is essential in ensuring a positive and welcoming experience for anyone who interacts with our organization. The ideal candidate will possess excellent communication skills, a professional demeanor, and the ability to manage multiple tasks efficiently. This is a part-time role for approximately 16 hours a week.
Responsibilities of the Temporary Office Administrator:
- Greet and welcome visitors, clients, and staff warmly and professionally.
- Answer, screen, and direct incoming calls promptly and professionally; take and relay messages accurately.
- Maintain visitor logs, issue visitor badges, and notify staff of visitor arrivals.
- Assist in scheduling appointments, meetings, and conference room bookings and manage calendars as required.
- Provide general administrative support, including data entry, filing, photocopying, and mail distribution.
- Address inquiries from clients and visitors, providing accurate information or directing them to the appropriate department.
- Monitor and manage inventory of office supplies; place orders as needed.
- Ensure the front office area is clean, organized, and presentable at all times.
- Maintain security by following procedures and controlling access (monitoring logbook, issuing visitor badges).
Required Experience/Skills for the Temporary Office Administrator:
- Proven experience in a front office or customer service role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Preferred Experience/Skills for the Temporary Office Administrator:
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Professional appearance and attitude.
- Ability to handle sensitive and confidential information with discretion.
Education Requirements:
- Associate’s or Bachelor’s degree is highly preferred.
