Position Overview:

The Administrative Assistant provides essential support to executives and teams, ensuring efficient office operations. This Administrative Assistant role in Stamford, CT, involves managing schedules, coordinating meetings, and handling confidential information with discretion for a team of investment professionals.

Responsibilities of the Administrative Assistant:

  • Draft and manage correspondence, reports, and presentations.
  • Schedule and confirm appointments, meetings, and events.
  • Organize and maintain paper and electronic files.
  • Answer and direct phone calls, take messages, and provide information to callers.
  • Greet visitors and direct them appropriately.
  • Operate office equipment and arrange for repairs as needed.
  • Maintain scheduling and event calendars.
  • Coordinate internal and external communications.
  • Support special projects and other administrative tasks as assigned.

Required Experience/Skills for the Administrative Assistant:

  • Proficiency with office software (e.g., MS Office Suite, email systems).
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with integrity.
  • Attention to detail and accuracy.

Preferred Experience/Skills for the Administrative Assistant:

  • Prior experience in a financial or investment firm.
  • Familiarity with database management and document preparation.
  • Experience supporting multiple executives or teams.

Education Requirements:

  • High school diploma or equivalent required.
  • Associate’s or Bachelor’s degree preferred.
