Client Overview:
Our client is a fast-paced private equity/hedge fund, is seeking a highly skilled Executive Assistant to support senior leaders in a polished, confidential, and high-performance environment. This firm is looking for someone sharp, resourceful, and extremely organized, with strong technical abilities and proven experience supporting executives in the financial services industry.
Salary/Hourly Rate:
$40/hr
Position Overview:
The Executive Assistant will manage complex scheduling, coordinate domestic and international travel, prepare documentation, and serve as a key point of contact for executives. This role requires a proactive, detail-oriented professional who can navigate shifting priorities while maintaining composure and confidentiality. The ideal candidate must have prior Executive Assistant experience in private equity, hedge funds, investment banking, or financial services, along with strong tech proficiency.
Responsibilities of the Executive Assistant:
- Manage calendars, meetings, and shifting priorities for senior executives.
- Coordinate domestic and international travel, including flights, hotels, itineraries, and expense reconciliation.
- Prepare reports, presentations, briefing materials, and correspondence.
- Communicate with internal teams, investors, and external partners.
- Support special projects and high-level initiatives as requested.
- Maintain confidential information with professionalism and discretion.
- Handle administrative tasks such as filing, data management, scheduling, and document preparation.
Required Experience/Skills for the Executive Assistant:
- 3 – 5 years of Executive Assistant experience supporting senior leadership in private equity, hedge funds, or finance.
- Strong travel coordination experience, including global travel logistics.
- Tech-savvy: proficient in Microsoft Office Suite, Google Workspace, Zoom, and CRM or workflow platforms.
- Excellent written and verbal communication skills.
- Highly organized with exceptional attention to detail.
- Ability to multitask, stay ahead of deadlines, and adapt to a fast-moving environment.
- Professional demeanor with strong judgment and confidentiality.
Preferred Experience/Skills for the Executive Assistant:
- Experience supporting C-suite executives or investor-facing teams.
- Familiarity with expense systems (e.g., Concur, Expensify).
- Comfort working in a high-pressure, high-expectation environment.
Education Requirements:
- Bachelor’s degree is preferred.
