ANNUAL W-4 NOTICE
IRS regulations (IRS Reg. §31-3402(f)(2)-1(c)(3) requires employers to remind employees to submit Form W-4 Employee’s Withholding Allowance Certificate, if your filing status, exemption allowances, or exempt status has changed since the last filing of your Form W-4. If you have not had any changes, there is no requirement that a new form be submitted.
CONTINUING EXEMPT STATUS
If you are currently claiming exempt status, your exemption for 2025 expires February 17, 2026 and you will need to complete and submit prior to this date to keep your exempt status. If you do not complete a new W-4 form by this date, your tax status will change to Single and zero allowances. Any taxes withheld on or after February 17, and by the time a new W-4 is submitted for processing will not be refunded.
W-2 AVAILABILITY
Your W-2 will be postmarked and available January 31. If you consented to receive electronically, you will be able to access on that day. If you did not make a selection, or opted out of electronic delivery, your W-2 will be mailed (1.31) to the address on file with Atrium as of December 31.
WHY DOESN’T MY EMPLOYER PROVIDE A SEPERATE BREAKDOWN OF OVERTIME OR TIPS ON THE 2025 W-2?
The IRS does not require employers to provide a separate accounting of overtime or cash tips on Form W 2. Under Notice 2025-69 the IRS clarified that employees can determine their deduction amount on their own, using pay statements or tax software, without needing employers to list overtime or tip amounts separately. All wages — including overtime and tips — continue to appear together in Box 1 of the W-2.
